Work Hours:
The Spa Coordinator is a full-time salaried position. Management on Duty (MOD) coverage is
shared between two Spa Coordinators for operating hours: Monday – Friday 9:00 a.m. – 7:00
p.m., Saturday 9:00 a.m. – 6:00 p.m., and Sunday 10:00 a.m. – 6:00 p.m. Other management
duties are generally scheduled outside of the time dedicated to MOD activities.

Pay Range: $48-$55K

Purpose:
The Spa Coordinator is responsible for the daily organization and management of the spa,
has a detailed understanding of the Hospitality Team operations, spa software, understands
the “Woodhouse Way” and works to consistently enhance the spa’s execution of its principles.
Working closely with the leadership team to plan for and execute strategic initiatives, the Spa
Coordinator is responsible for the overall training and development of the hospitality team in
their job responsibilities. The Spa Coordinators collaborate closely with one another to
ensure a cohesive team environment, and consistent adherence to and execution of
all spa practices and policies. The Spa Coordinator is responsible for conforming to
Woodhouse Spa standards set forth in the Team member Handbook and Operations Manual
and will strive each day to exceed guest expectations.

Responsibilities (Essential duties):
  • Manager on Duty Responsibilities
  • Management authority for all issues while on duty
  • Provide directions, as needed to staff to ensure operational excellence
  •  Ensure guests are delighted
  • Schedule optimization and quality control
  •  Employee point of service contact
  • Receive and stock deliveries
  •  Address urgent maintenance issues
  •  Arrange staff coverage as needed
  •  Communicate daily goals
  •  Provide employee training and feedback
  • Provide daily report to management team
  •  Work alternating schedules to ensure a “Manager on Duty” all days in the spa

Other Duties
  •  Manage team schedules
  • Participates in Hiring and facilitates training for new team members
  •  Coach and develop team members
  •  Communicate team and individual goals and consistently track progress toward goals
  •  Hold performance reviews
  •  Track licenses for spa professionals and ensure all licenses are kept in compliance with state laws.
  •  Ensure treatment rooms are compliant with licensing regulations and Woodhouse standards.
  •  Ensure treatment protocols and product usage measurements are followed
  •  Manage equipment inventory and let leadership know when supplies are needed
  •  Ensure the cleaning, repairing, and maintenance of equipment
  •  Ensure guest service standards are upheld daily
  •  Ensure quality control standards are upheld daily
  •  Ensure the safety of guests and team member members by adhering to the Safety and Security Policy.
  •  Coordinate with leadership to prepare for on-site inspections and meet with inspectors
  •  Perform duties of Manager on Duty when scheduled
  •  Assist leadership in overall management of facility
  •  Work closely with leadership to define, plan, and execute strategic initiatives to achieve overall spa goals.
  •  Educate guests on spa services and retail products
  •  Assist with placing POs, receiving orders, inventory management, and inventory database in Zenoti for all departments of the spa. Including, using Zenoti or other software to track items that are not selling and identifying items that need to be on sale or dropped from the retail line.
  •  Protect THE WOODHOUSE brand
  • Abide by all protocols set forth by The WOODHOUSE Spas Corporation

Organizational Relationships:
The Spa Coordinator reports directly to the General Manager and manages all hospitality
members, which includes concierge and spa attendant team members.

Desired Skills:
  •  Minimum 5 years spa experience, minimum 5 years of management experience required.
  • Desired skills include leadership, flexibility, retailing, training, superior communication,sales, administration, advanced computer skills and organizational skills.
  •  Experience with Zenoti spa software preferred.
  • Must be a “team-player” and understand the importance of staff happiness and maintainan atmosphere that makes employees want to come to work.
  •  Must be available to work evening and weekend shifts per business needs.
Working conditions:
  •  Standing for up to 6 hours at a time
  •  Walking across spa multiple times during shift and potentially up and down stairs
  •  Lifting up to 30lbs, bending, reaching, stooping, repetitive motion
  •  Reasoning, problem solving, hearing, speaking
  •  Fast/steady paced environment, multiple priorities
  •  Frequent customer interactions
  • Ability to adapt to changes
